Why submittals slip

A submittal log looks simple on day one. Then the job gets going. Shop drawings come in late from one sub, product data comes back marked revise and resubmit from the architect, and a long-lead item quietly sits in someone's inbox for two weeks. None of these problems are hard on their own. The trouble is that there are dozens of them at once, spread across email, a spreadsheet and your memory. When one slips, it usually shows up later as a delivery delay or a schedule fight.

What AI submittal tracking actually means

In Arise Crew, every submittal is an item on your project board with a spec section, a responsible party, a required-by date and a status. The Submittal Clerk, one of your five AI crew members, watches those items for you. It notices when a review has been out longer than the turnaround you set, when a resubmittal has not come back, or when a required-by date is getting close and nothing has been sent yet. Instead of building that list yourself every Monday, you open the board and see what needs a push.

Follow-ups drafted, never sent on their own

Spotting a late submittal is only half the job. Someone still has to write the email. The Dispatch crew member drafts a short, polite follow-up to the right person, with the submittal number and the date it is needed. The draft lands in your approval queue. You can send it, edit it or toss it. Nothing goes out without your OK, so you stay in control of every message that carries your name.

Tie submittals to the schedule

A submittal only matters because something on site depends on it. When you record the required-by date from your lookahead or procurement schedule, the crew can rank what is truly urgent instead of treating every open item the same. Long-lead equipment, structural items and anything on the critical path rise to the top. That makes your weekly submittal review shorter and more focused.

A simple weekly routine

Here is a routine that works with or without software. First, log every required submittal from the spec book before work starts. Second, set a realistic review turnaround with the design team and write it down. Third, review the open list every week, oldest first. Fourth, follow up in writing on anything past due and note the date you did. Arise Crew is built to do steps three and four with you, so the routine actually happens on busy weeks.

How to try it

Arise Crew is in a free founding pilot. You request access, we review every request and reach out to set up a short call, and then we set up your board and switch on your crew. You load a few real projects, with their open items and due dates, and use the crew on your normal work. Use only what you are comfortable sharing, since everything stays in your own private workspace and is never used to train AI models. Paid plans are planned but not live yet. Founding pilots get the setup fee waived when paid plans launch. If it does not save you time, you simply stop using it.

FAQ

Does Arise Crew replace my submittal software?

Not necessarily. Arise Crew is a project board and AI crew that keeps track of open items and drafts follow-ups. Procore integration is planned but not live yet.

Will the AI email the architect for me?

No. The crew drafts follow-ups and puts them in your approval queue. You decide what gets sent.

Can I use it on more than one project?

Yes. Every project lives on the same board, so you can see late submittals across all your jobs in one place.

Is my project data used to train AI?

No. Your board and documents stay in your own private workspace and are never used to train AI models.
